Exhibitor Information

EXHIBIT PERSONNEL

Booth staff registration will open when exhibitor booth registration opens. Registration information, instructions, and next steps will be provided to the primary exhibit contact via email.

Exhibit registration includes a designated number of exhibit hall-only staff passes based on the booth package selected. Professional Single Exhibits and Premedical Single Exhibits include two (2) staff passes, while Professional Double Exhibits, Professional Double End Cap Exhibits, and Combination Packages include four (4) staff passes. Additional exhibit hall-only staff registrations are available for $250 per person, subject to the limits established for each exhibit package.

We recommend that organizations have at least two representatives available to staff their exhibit space, allowing for breaks while ensuring the booth remains attended during scheduled exhibition hours. No refunds will be issued for unused exhibitor staff registrations.

Exhibitor registration provides access to designated exhibition and recruitment activities only. Exhibitors wishing to participate in other conference programming must register separately as conference attendees or purchase tickets for eligible events, including the President’s Luncheon, Premedical Forum Luncheon, and Board of Directors Banquet. Event tickets are subject to availability.

Exhibitor name badges will be distributed during designated exhibitor registration and check-in hours. Additional instructions regarding badge pickup and move-in will be provided to registered exhibitors.

BOOTH PROVISIONS

Professional Exhibit Hall

Professional Exhibit Hall booths are configured in 10’ x 10’ spaces (approximately 100 square feet per booth) and include exhibition pipe-and-drape. Available configurations include:

• Professional Single Exhibit: One 10’ x 10’ booth space.
• Professional Double Exhibit: Two adjacent 10’ x 10’ booth spaces, creating a 10’ x 20’ exhibit area.
• Professional Double End Cap Exhibit: One 10’ x 20’ end cap exhibit space.
• Combination Package: One 10’ x 10’ Professional Exhibit Hall booth and one 6-foot tabletop in the Premedical Recruitment Fair.

Premedical Recruitment Fair Hall

Premedical Recruitment Fair exhibits consist of a 6-foot tabletop display with two chairs. Pipe-and-drape is not provided. The Premedical Recruitment Fair is a separate exhibit experience from the Professional Exhibit Hall, with its own designated space and schedule.

• Premedical Single Exhibit: One 6-foot tabletop exhibit space.
• Combination Package: One 6-foot tabletop in the Premedical Recruitment Fair and one 10’ x 10’ booth in the Professional Exhibit Hall.

OFFICIAL DECORATOR SERVICES

SNMA has contracted with Fern Decorating as the official exhibit decorator. Fern will assist with booth setup, exhibitor shipping, material handling, and additional exhibit services.

Standard furnishings for a Professional Single Exhibit include one 6-foot skirted table, two folding chairs, one wastebasket, and one booth identification sign. Double exhibits and Combination Packages include additional furnishings as outlined in their respective exhibit package descriptions.

Additional services, including material handling, rental furnishings, audiovisual equipment, and other display items, must be arranged through Fern. Decorator contact information and the exhibitor service kit will be provided to the primary contact for registered exhibitors.
